This company, Lawn and Order Service, has existed for several years, but it should also be noted that its breakthrough in the market has been so fast compared to the years it has spent. Many challenges, just like any other company, have been faced with Lawn and Order Service. However, there is a big challenge that can turn to be a disaster if addressed slowly. This challenge is about the crisis in the company data management, and it has to be intervened so quickly to avoid future consequences which shall come along due to this crisis.

The major challenge here is that the way data management is handled threatens data confidentiality since the data security in the IT departments is restricted only to the individual directors of the various sections in the IT sector. Among them include access to the WordPress website, the company customer database, the company blog, and its payroll, which are very important when dealing with such a company in the world of cyber threats today.

The fact that these respective sections in the IT department are headed by different directors, which director owns the privileges and sole permissions to access the individual accounts, makes it seem that the company shall face mega problems if any of them leaves the company or becomes absent. Therefore, the challenges resulting from such a situation must be addressed immediately.

The Problem

Dealing with companies with big data must be one of the most hectic jobs evolving today in employment. Most companies start small and later grow into mega companies meaning the operations and work increase hence adopting the internet and technology to simplify the work. Technology implies that databases are built, and software and hardware systems are built to bring ease in management. Now all these activities become easy, but they are only efficient when there is data management and proper data management.

The element of data management can be defined as the tendency to collect the data, organize the collected data, protect the organized data, and then store that data in secure databases to be easily used for decision-making in the business (SALESFORCE, 2023). The essence of data security is so crucial since there are cyber-attacks that always pose threats to such data. However, talking about the big data which has been collected, organized, and well stored in the database of the Lawn and Order Services company, there are growing threats which is internal.

The threats are about how data management is done in Lawn and Order Services company as the access, or legal permissions are granted to only the department heads in the IT section of the company by the cloud secure. Cloud Secure policies allow access rights to the only person in the respective sections in the IT department, which could be good as no one would access the account of the other nor the accounts of the heads being accessed by the subordinates to temper with data confidentiality. However, this is a problem when a medical emergency arises on one of the heads having access rights, which could hinder the company’s regular operation.

Suggested Solution

There are various ways in which this situation has to be handled to come up with a clear solution that shall cater to and be considered a better solution for both the company and the employees of the company. The solution may be more than one alternative as below;

I prefer endorsing sharing the duties.

There is a limit on the access rights of the company employees in the IT department because there is no sharing of duties (Stack, 2020). Sharing duties implies that access rights shall have to be given to all who can access those accounts, which shall cause no threat in case one person encounters a medical challenge and fails to show up on duty. Sharing duties may be between employees of the same level or the head and subordinates.

Job rotation.

Job rotation calls for understanding how to run/ work in place of a fellow employee (Team, 2019). It is important to make job rotations in areas of work since it makes the company run even when one person is missing and halts no company work. Employees should be rotated and even given work leaves to go on vacations. There is a need to review the rotation policies at work.

Company policies review IT confidentiality.

This should be agreed upon between the company and the company’s customers. The customers should have a say on who should access their data. However, company data should be confidential and only accessed by authorized persons to avoid tempering and editing it. The logins, including the information, should define who should access it.

Conclusion

It is always important for a company to remain in operation regardless of the presence or absence of any company employee. It is unrealistic for a company to be at a standstill due to the employee’s failure not turning up. Therefore, Lawn and Order Services should not depend on its workers to operate as it is today. There should be immediate attention to revising the company policies and coming up with policies in the IT department that safely makes the company directors run the company in case one director is absent. This will also improve company operation, and confidentiality and its importance shall be attained since employees are less straining (Hiscox Experts, 2023).
